October Coaching: Separation Season

Hey friend,

Let’s talk about October—what I call separation season.

Coach Prime says it best: “This is the time when the great ones separate themselves from the good ones.” Think of a race. Everyone starts together, but when fatigue sets in, some slow down. That’s when the leaders dig in, push harder, and pull ahead.

That’s exactly what Q4 is in property management. Some communities will coast into the holidays. Their marketing drops off, follow-up slows down, and they leave opportunities on the table. But you? You have the chance to separate. Not by doing everything—but by being consistent with the right things. And that’s exactly why Spark gives you tools each month: so you don’t have to guess where to focus.

Here’s how to use your October kit to create separation:

1. Start Renewals Early

Don’t wait until the 30-day mark. Use the Renewal Flyer from your October Marketing Strategy to start conversations now. Pair it with a personal note or a quick “we’d love to keep you” call. A small incentive—like carpet cleaning or locking in today’s rate—makes it even stronger.

Separation factor: While other communities delay, you’re locking in leases before residents even start shopping around.

2. Show Appreciation

Retention isn’t just about contracts—it’s about connection. Use the Appreciation Flyer in this month’s kit to create a simple, heartfelt moment for your residents. Whether it’s delivered with a small treat or posted in a community space, it’s a visible reminder that they’re valued.

Separation factor: While others go quiet, you’re building goodwill that leads to renewals and referrals down the line.

3. Be Relentless in Follow-Up

Most communities stop following up this time of year. Use Spark’s Social Media Graphics + Captions to stay visible online while you stay consistent with your prospect calls and texts. Three touches in three days, then light weekly touches until you get an answer.

Separation factor: You’re showing up where others quit, and prospects remember you because you stayed present.

4. Market the Lifestyle

People want to see more than four walls. Use the Seasonal Social Graphics from Spark to show what it feels like to live in your community—fall vibes, cozy corners, pets, and residents enjoying events.

Separation factor: While others post generic floor plans, you’re helping prospects imagine themselves at home.

5. Refresh Your Presence

This month’s Spark kit also includes a Marketing Flyer + Calendar Tool to help you plan ahead. Use it to highlight community wins, promote an upcoming event, and add seasonal touches to your outreach.

Separation factor: Prospects see that your community is alive and engaged, even in a season where many go quiet.

6. Host a Simple “Guess How Many” Event

Resident events don’t have to be elaborate to make an impact. Spark gives you 12 event ideas each month—and one of my favorites is a simple “Guess How Many” jar. Fill a clear container with candy corn or mini pumpkins, set it in your office or clubhouse, and let residents submit their guesses. The winner gets a small prize, like a gift card or a fall goodie bag.

Separation factor: While others skip events in Q4, you’re creating fun, low-cost touchpoints that build loyalty and boost renewals.

Why This Matters for December & January

By leaning into Spark’s flyers, graphics, and resources now, you’re planting seeds that pay off in the months ahead.

  1. In December, when others are scrambling, you’ll already have renewals locked and residents feeling valued.

  2. In January, when others are trying to recover from coasting, you’ll already be running ahead with momentum.

That’s the power of separation season.

Coach Prime says, “You look good, you feel good, you play good.” I’ll add this:

When you use the tools Spark gives you, you market good, you retain good, and you finish the year strong.

So don’t coast. Separate.

With you in this,

 Barbara
